Privacy Policy
Last updated: November 6, 2026. ShipShape is provided by LONGLINE LABS LLC ("we").
What we collect
- Account details: names and email addresses of the people on your team, and your company name and time zone.
- You sign in with a Longline Labs account, and that account service tells us your name, your email address, that the address is verified, and an identifier for your account. Nothing else; we never see its password. The account service is LONGLINE LABS LLC's own, with its own Privacy Policy at account.longlinelabs.com.
- What you enter: associations (names, abbreviations, units) and your naming convention.
- The rename log: each file's old and new name, its association and kind, who renamed it and when. Names only, never the file.
- The files you give us, for a short time. We never read what's inside them. The preview you see while naming a file is shown by your own browser and isn't sent to us.
- Billing details, handled by Stripe. We never see or store full card numbers.
- Basic technical records, like when emails were sent and whether they bounced.
- Network (IP) addresses of new trials and invites, to stop spam sign-ups and invites. We delete them after two days.
How we use it
Only to run ShipShape: renaming your files, keeping your log, and sending the few account emails (invites, trial and billing notices), and billing. We don't sell your data, and we don't use it for advertising. We don't email anyone outside your team. We don't track whether you open our emails or click their links.
Who helps us
We use a small number of service providers: Supabase (database, logins and short-term file storage), Postmark (email delivery), Stripe (payments), Vercel (hosting), and Cloudflare (our web address, and forwarding emails sent to our support address). They process data only to provide their services to us.
Cookies
We use only the cookies ShipShape needs to work: the ones that keep you signed in. Your browser also remembers your light or dark theme choice, on this device only. We don't use advertising or tracking cookies, or outside analytics.
How long we keep it
Files: 24 hours, or 7 days if you ask, or until they are downloaded if that comes first, then they are deleted. Everything else: while your account is active. If a trial or plan ends, we keep the data for 30 days, then permanently delete it. You can download your data anytime from Settings.
Your choices and rights
You can update your name in Settings and download your log at any time. You can also ask us for a copy of your personal information, to correct it, or to delete it (including deleting your account sooner) by writing to support@shipshapefiles.com. Some states give their residents these rights by law; we honor them for everyone, and we reply within 30 days.
Security
Each company's data is kept separate, connections are encrypted, and access is limited to the people on your team.
Children
ShipShape is a business tool for community association managers. It isn't meant for children, and we don't knowingly collect their information.
Changes to this policy
If we change this policy in a way that matters, we'll update the date at the top of this page and tell account owners before the change takes effect.
